Job Description

The Corporate Communications Specialist (IC4) is responsible for writing, researching, project management and administrative tasks for the Corporate Reputation and PR team. This specialist will support internal and external communications projects, including supporting CEO programs and events. Administrative tasks include budgeting, project tracking and contracts. Internal communication experience preferred. The Corporate Communications Specialist will report to the Executive Leader of Corporate Communications. 

 

This role is based in Austin, TX, with an expectation of being in the Store Support office five days a week.

 

Responsibilities: 

  • Leads project management and logistics for executive communications initiatives, including but not limited to external and internal communications initiatives, PR events, and Team Member engagement activities 

  • Edits, coordinates, plans and drafts content for executive updates on internal communication tools, serving as editor and main point of contact for business stakeholders

  • Researches, interviews and writes briefing documents for CEO and executive programs and projects 

  • Responsible for organizing and tracking speaking and filming requests for the broader Corporate Communications & PR team

  • Manages Corporate Communications & PR Team budgets, including agency support and contractors; tracks and verifies invoices and expenses and submits invoices for payment

  • Arranges meetings, programs, events, or conferences by coordinating facilities, catering, information distribution, invitations and logistics 

  • Arranges travel plans and itineraries; compiles research and documents for travel-related programs, meetings and visits 

  • Manages executive video requests, scheduling time and coordinating shoots as needed 

  • Develops system for organizing and storing messaging, project materials and other assets and collateral 

  • Collects and monitors metrics for executive communications projects and finds new solutions for tracking progress

  • Conducts research on events, speaking and filming opportunities for executives

  • Supports ad hoc Corporate Communications & PR team projects needs as needed 

 

Skills: 

  • Experience managing executive-level projects and events that are high profile and complex in nature 

  • Maintains positive working relationships with executive leaders and supports functional stakeholders 

  • Clearly understands the relationships and interdependencies between the various functions across Whole Foods Market and leverages working relationships and knowledge to contribute to the strategy and progress of Corporate Communications & PR team 

  • Evaluates and resolves issues using knowledge of what information to collect and where to find it 

  • Capable of keeping projects on track financially and in accordance with stakeholder deadlines 

  • Self-starter with a get-it-done attitude who can effectively prioritize and manage multiple projects 

  • Excellent communication skills, including written, verbal, and listening 

  • Strong attention to detail 

  • Experience supporting and planning events 

 

Education & Experience: 

  • BA/BS degree and 2-4+ years’ relevant experience OR equivalent education and relevant experience 

  • Previous experience working directly with senior-level leaders  

  • Previous experience managing or supporting events or executive travel
