Job Description

The Purchasing Assistant will work with Regional Buyers to support the flow process through the facility.

Responsibilities

  • Abide by all safety regulations set forth by OSHA and Facilities.
  • Read, understand and follow daily distribution sheets.
  • Obtain accurate daily "Replenishment Reports" for buyers of existing products.
  • Generate purchase orders upon request of Regional Buyers.
  • Ensure that all purchase orders are approved and dispatched in a timely manner.
  • Immediately notify buyers of any changes to purchase orders received from vendors. Document all revisions and file using Outlook.
  • Make changes as needed to existing purchase orders to ensure that the correct product is received and pricing is correct.
  • Create daily report of "Out of Stock" items in Excel format and determine ETA of product’s replenishment.
  • Compile data for allocations, download into the allocation template and forward to customer service team.
  • Create daily report of "Daily Receipts" excluding produce and floral.
  • Create daily "Fill Rate" report excluding produce and floral.
  • Maintain, monitor and document all email traffic corresponding to purchase orders and respond accordingly.
  • Communicate effectively with Facility Teams, Regional Buyers, Global Buyers and Vendors.
  • Submit new item forms to Inventory Control for slotting.
  • Track new item flow into stores including initial allocation.
  • Compile store void reports for review by Regional Buyers and DC.
  • Compile reports for buyers showing vendor performance.

  • Self-motivated with the ability to work independently and efficiently with little or no guidance
  • Excellent analytical, organization and prioritization skills.
  • Detailed orientated; excellent data entry skills
  • Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, and fractions
  • Ability to effectively use Microsoft Word, Excel, EXE, PeopleSoft, IRMA and Outlook
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Excellent verbal and written communication skills
  • Ability to perform physical requirements of position
  • Ability to work well with others
  • Ability to effectively support team and regional vision
  • Proactive, punctual, with a positive attitude
  • Ability to work a flexible schedule based on the needs of the team, including nights, weekends, and holidays

Desired Work Experiences

  • Administrative or clerical experience in professional office setting preferredĀ (2 years)
The wage range for this position is $22.00 - $30.80 Hourly, commensurate with experience. Whole Foods Market offers "Whole Benefits".
