Office Team Specialist / Receptionist
Job Description
Whole Foods Market is seeking an Office Team Specialist / Receptionist in Seattle office. This role is responsible for providing general office and associated administrative support, including audio / visual maintenance, conference / meeting coordination and set up, new Team Member set up including connectivity support, equipment upkeep and repair. It may be responsible for inventory management, supply ordering and upkeep. It may also support various business functions, including comparison pricing, equipment rebate tracking and application, and large event planning and support.This role is based in Seattle, with an expectation of being in the office five days a week.
Responsibilities:
- Provides administrative support for designated leader / team.
- Greets visitors, maintains visitor logs, and issues visitor passes as required.
- Receives incoming calls, routes calls to appropriate contacts and takes / relays messages.
- Provides initial point of contact for WFM in a professional and efficient manner.
- Manages high-volume telephone traffic via multi-line phone system.
- Coordinates visitor traffic in accordance with Central Security’s guidelines.
- Receives messenger / courier deliveries and notifies mailroom and/or appropriate Team Members.
- Updates / maintains contacts and additional online lists for Security and WFM.
- Provides backup support for other Office Team responsibilities, including but not limited to intra-office relocations and workspace arrangements, reception desk coverage.
- Ensures office equipment and supplies are properly ordered, stocked, maintained and replaced as necessary.
- Makes sure kitchens are stocked with supplies.
- Maintains office equipment and supplies (printers, ink, toner, paper).
- Receives and logs incoming packages.
Skills:
- Uses Microsoft Office products, including Word, Excel, PowerPoint, Outlook, and SharePoint.
- Familiar with office equipment (copier, fax, shipping and receiving tools).
- Learns various departmental processes and procedures including but not limited to expense processing, document preparation and retention.
- Maintains a professional demeanor at all times.
- Ability to multi-task and quickly adapt in a fast-paced environment.
- Maintains confidential information.
- Normally receives general instructions on routine work and detailed instructions on new assignments.
- Works well as a team member, sharing responsibilities for tasks and objectives.
- Participates in team meetings and contributes ideas as appropriate.
- Builds stable internal and, as required, external working relationships.
- Works on routine assignments requiring limited judgment.
- Follows standard procedures and written directions to accomplish assigned tasks.
- Refers unexpected or difficult questions to higher levels.
Understands the WFM organizational structure, associated hierarchy, and approval levels.
- Understands the types and timing of various departmental deadlines and events.
Education & Experience:
- High school diploma and 1-2 years’ relevant experience.
